How we collect, use and look after the personal information you give us.

Who we are

Passwise Driving School provides driving lessons and practical driving instructor training in Birmingham and the surrounding areas. For the purposes of UK data protection law we are the data controller for the information described in this policy.

What we collect

We collect only what we need in order to arrange and deliver tuition.

  • Contact details: your name, email address, mobile number and postcode.
  • Booking details: the service you want, transmission, session length, the times you are free, your pick-up area and any preferences you tell us about.
  • Learning context: your experience level, licence status and, if you choose to tell us, your practical test date and centre.
  • Instructor-training context, where relevant: your stage in the qualification route, test dates, previous attempts and training hours completed.
  • Lesson records: sessions booked, attended, cancelled or completed, and your instructor's progress notes.
  • Payment records: amounts, dates and the payment provider's reference. We never see or store your card number.
  • Technical information: IP address, browser type and pages visited, used to keep the service secure and working.

Why we use it

We use your information to match you with a suitable instructor, to arrange and deliver lessons, to take payment, to keep records of what has been taught, and to contact you about your booking.

Where you have opted in, we also use your email address to send occasional Passwise offers and updates, and your mobile number to send lesson reminders. You can withdraw either consent at any time.

Our lawful bases are: performance of a contract (arranging and delivering your tuition), legitimate interests (running and securing the service, keeping business records), consent (marketing and SMS reminders), and legal obligation (accounting and tax records).

Who we share it with

We share the minimum necessary with the instructor allocated to you, so that they can teach you and contact you about lessons. Before an instructor accepts a booking they see only your first name, outward postcode and the details of the work itself, not your full contact details.

We also use service providers who process data on our behalf: our hosting provider, our email provider and our payment provider. Each is bound by a contract that restricts what they may do with your information.

We do not sell your personal information.

How long we keep it

We keep booking and lesson records for as long as you are a customer and for a period afterwards to meet accounting and legal obligations. The exact retention periods must be confirmed with an adviser and stated here before publication.

Marketing consent records are kept until you withdraw consent, plus a short period so that we can evidence the withdrawal.

Your rights

Under UK data protection law you have the right to access a copy of your personal data, to have inaccurate data corrected, to have data erased in certain circumstances, to restrict or object to certain processing, and to data portability. Where we rely on consent, you can withdraw it at any time.

Security

Access to customer data is restricted by role. Instructors can only see the customers assigned to them. High-impact administrative actions are recorded in an audit log. Passwords are stored using a modern one-way hashing algorithm and are never recoverable in plain text.

Card details are handled entirely by our payment provider and never reach our systems.
